About address books
FirstClass lets you create an address book for storing personal email addresses.
You can store addresses and other personal information for anyone you contact using FirstClass. Your personal addresses can be people who are not currently registered with your server, or people who are registered, but whom you want to access in a different way, for example by nickname.
An address book must already be on your Desktop when you add your first personal address. If it is not there, create the first personal address through the client to make the address book appear, or contact your administrator.
Adding personal addresses
When you add a personal address to your address book, that address is added to your personal view of the Directory.
To add a personal address to your address book:
1 Choose New Personal Address from the dropdown field.
2 Click New.
3 Fill in the Address Book form.
4 Click Save.
Note
An address book must already be on your Desktop when you add your first personal address. If it is not there, create the first personal address through the client to make the address book appear, or contact your administrator.
Addressing messages using the Directory
To specify a recipient who is in the Directory, enter the recipient's full name or part of the name, or click Directory and list the recipient you want.
If you type a partial name, and it is unique in the Directory, the rest of the name is filled in for you after you press Tab or Enter/Return.
If the partial name is not unique, the Directory opens with a list of all names that match. When you see the name you want to add, click the user symbol beside the name. The name is added to the "To" field automatically.
If you are working from the Directory list
1 Select the checkbox beside the name of the person you wish to send a message to.
Note
If you do not see checkboxes, click the New Message button beside the appropriate user.
2 Choose Message from the dropdown field.
3 Click New.
A New Message form will appear with the "To" field already filled in. You can only use this method to add one name to the "To" field.
Addressing messages to conferences
To address a message to a conference, open the conference, then create the message. The message is automatically addressed to the conference.
Addressing messages to gateway addresses
To specify a recipient who is connected to your server through a gateway, type the address in the format
recipient's name,gateway name
The recipient's name is the user name or address of the recipient as defined on the other system. The gateway name is the name used by the other system.
Example
To send a message to Amanda Ho through the Avalon Toronto gateway, type
Amanda Ho,Avalon Toronto
For information on the gateways to which you can address messages, contact your administrator.
Note
FirstClass does not check whether this type of address is valid.
About mail lists
If you routinely send mail to the same group of users, you can create a mail list that contains these users. When you send a message addressed to the mail list, all users in the mail list receive the message.
When you add a mail list to your address book, that mail list is added to your personal view of the Directory.
Creating mail lists
To add a mail list to your address book:
1 Choose New Personal Mail List from the dropdown field.
2 Click New.
3 Replace "New Personal Mail List" in the Name field with the name you assign to this list.
4 Enter the full name of each member of the list in the Members field, pressing Enter/Return after each entry.
5 When you have entered all of the names,
Click Save.
6 Close the New Personal Mail List form.
Removing recipients
To remove a recipient from your message, click on the recipient's name.
Updating address book entries
When you add a new personal address or mail list, the entry is displayed in your personal address book list.
To update an address book entry:
1 Open your address book.
2 Click the entry.
3 Click Edit Form.
4 Change the information as required.
5 Click Save.
Using addresses from other messages
To use an address from a message that has already been sent, click the appropriate name in the message envelope. A new message is created with this address in the "To" field.
